As a Service Advisor at our Cheyenne location, you serve as the vital connection between our customers and our business. Your primary mission is to facilitate seamless transactions by understanding customer needs and orchestrating job priorities with our technicians. You will uphold the "Rocky Mountain Promise" in every interaction, ensuring that every customer feels heard, valued, and confident in the care of their vehicle.
In this role, you will build sustainable relationships of trust through open and interactive communication. You are expected to know your customers by name and go the extra mile to engage them, whether that means persuading them to reconsider deferring work or simply ensuring they have a positive experience. You will work hand-in-hand with the parts manager and technicians, ensuring everyone is set up for success while maintaining the highest standards of professionalism in the service office.
Your day begins by ensuring the office and phones are staffed during business hours, with a strict rotation for breaks to guarantee constant coverage. You will manage the flow of vehicles from the moment they arrive, collecting keys and coordinating with technicians to move units into the bays. A significant portion of your time is dedicated to accurate documentation, including the "3 C's" (Complaint, Cause, Correction) and ensuring all work orders are properly categorized and updated in the Mitchell system.
You will be responsible for presenting accurate estimates to customers within two hours of diagnosis, utilizing Pro-Demand for labor lookups and applying the appropriate buffer. Communication is key; you will make all follow-up calls between 10:00 AM and 2:00 PM and ensure that no Estimated Time of Arrival (ETA) is given without the Service Manager's approval. You will also monitor Work in Progress (WIP) daily, keeping scheduler and priority screens updated, and maintain an ongoing handover email to the shop's email address at the end of your shift to ensure continuity.

The process focuses on assessing your communication skills, your ability to adapt to different customer personalities, and your familiarity with record-keeping and computer programs.
