About the Role
The Project Controls Coordinator supports the Design & Construction team by managing the financial and contractual administration of capital projects from the design phase to the closeout phase. This role is designed to ensure the smooth financial operation of our projects, acting as the bridge between department managers, general contractors, architects, and accounting teams. You will be the financial and administrative backbone for assigned projects, ensuring all documentation is audit-ready and payments are processed timely.

Key Responsibilities
- check_circleManage financial and contractual administration for capital projects from design to closeout
- check_circleProcess AIA progress payment applications from contractors and architects timely
- check_circleSupport project closeout documentation and final payment processing
- check_circleAssist with coordination of department meetings, visitors, and new hire onboarding
- check_circleAssist with expense reports and travel arrangements for the team
- check_circleFacilitate contract setup, change management, purchase orders, and amendments
- check_circleProcess invoices, check requests, and fee-related invoices for assigned projects
- check_circleMaintain organized and audit-ready digital project files
- check_circleCommunicate with department managers and external partners to resolve invoice issues
- check_circleVerify backup documentation validity against master agreements before payment processing
Requirements
- verifiedHigh School diploma and 5 years of experience in construction office setting
- verifiedCollege Degree in Finance, Accounting, or Business Admin and 2 years of experience in construction office setting
- verifiedPreferred hands-on experience with AIA G703 & G703 pay applications
- verifiedPreferred knowledge of contracts, change orders, and purchase orders
