This position provides essential administrative support to the project management team for construction projects and other specified departments. The role serves as a central hub for communication and documentation, ensuring that project workflows remain organized and efficient.
You will be the first point of contact for the team, managing incoming calls and routing routine items appropriately. Your day involves handling all incoming and outgoing mail, including specialized shipments via UPS and Federal Express, ensuring timely distribution. You will coordinate travel arrangements, plan itineraries, and schedule meetings to keep the team on track.
A significant portion of the role focuses on documentation and compliance. You will prepare and distribute correspondence, reports, and meeting minutes, while maintaining accurate filing systems for job files, insurance logs, bonding logs, and commitment logs. You will also manage the distribution of plans and Invitation to Bid packages, input commitment data into cost reporting systems, and process various commitment documents such as purchase orders, subcontracts, and change orders. Additionally, you will track signed commitments and notify subcontractors regarding change orders and quote processing.
Candidates meeting the minimum requirements will be reviewed for their ability to perform essential duties, including keyboarding at 45 wpm and proficiency with word-processing and spreadsheet software.
