We are seeking a dedicated Administrative Assistant II to support the Urological Surgeon and their practice at a healthcare clinic in the Francis St area of Boston, MA. This fully on-site position serves as the primary liaison between the surgeon, patients, and various hospital departments, ensuring the highest proficiency in daily clinical practice operations.
Reporting directly to the Surgeon and Administrative Manager, you will function as the first point of contact for patients and clinical staff. The role requires a blend of independent thinking and collaborative teamwork to manage complex workflows with minimal supervision. You will be the hub of communication, handling extensive phone interactions, patient portal messaging, and the coordination of surgical cases and diagnostic testing.
Your day will revolve around the seamless operation of the urology department. You will manage all aspects of patient care, from scheduling clinic appointments and specialized testing to booking surgical cases at the main campus, Faulkner Hospital, or other ambulatory sites. A significant portion of your time will be spent navigating the EPIC electronic medical record system to document care, monitor in-basket messages, and route prescription or imaging requests.
You will act as a trusted advocate for patients, triaging calls, addressing concerns in a time-sensitive manner, and communicating procedure preparation instructions. Additionally, you will serve as the practice's primary repository of information, ensuring that patient notes, pathology reports, and radiology results are distributed correctly to referring physicians in compliance with HIPAA guidelines. The role demands a high level of organization to prioritize tasks, manage the surgeon's radiology queue, and coordinate billing authorizations.
This is a fully on-site role located in Boston, MA (Francis St area). Please note that parking is not available; public transit is the recommended mode of transportation.
Schedule: Monday – Friday, 8:30 AM – 5:00 PM
Candidates must possess a High School Diploma or GED. A Bachelor's degree is preferred, though equivalent work experience will be considered.
