About the Role

The Medical Front Desk Coordinator and Records Specialist serves as the first point of contact for patients at APEX Health & Wellness. This role is vital to ensuring a seamless patient experience, blending exceptional customer service with the precision required to manage sensitive medical records. You will be the face of the clinic, guiding visitors through check-in and check-out processes while maintaining the integrity of our documentation systems.

In this fast-paced environment, you will facilitate patient flow, communicate delays effectively, and ensure that all administrative tasks—from scheduling to insurance verification—are handled with accuracy and discretion. The position requires a collaborative spirit, as you will coordinate closely with clinical staff and other departments to support the clinic's daily operations.

Key Responsibilities

  • check_circleGreet patients and visitors in a courteous and professional manner
  • check_circleManage patient check-in and check-out processes ensuring accuracy and efficiency
  • check_circleSchedule and confirm patient appointments both in-person and over the phone
  • check_circleVerify patient insurance information and ensure all necessary forms are completed
  • check_circleCollect co-pays and payments and provide receipts to patients
  • check_circleMaintain accurate and up-to-date patient medical records in compliance with HIPAA
  • check_circleScan and upload medical documents into the electronic medical records system
  • check_circleMonitor and respond to requests for medical records from patients and providers
  • check_circleAnswer and direct phone calls taking messages as needed
  • check_circleMaintain office supplies and inventory for the front desk area

Requirements
