We are seeking a dynamic Patient Coordinator who serves as equal parts patient advocate, relationship builder, and closer. This is not a passive administrative position; it requires the instincts of a skilled salesperson combined with the warmth of a trusted healthcare guide.
You will shepherd prospective patients from their very first inquiry through surgery scheduling, acting as the primary point of connection between the patient and our clinical team. Every interaction you handle represents a person considering a life-changing procedure, and you will treat each one with the urgency and empathy it deserves. Your mission is to help motivated patients navigate the complex process of elective and insurance-based surgery, guiding them to choose our practice with confidence.
In our specialty, patient coordination is fundamentally a sales function. You are not selling something patients do not need; you are helping them navigate a process and make an informed decision. This requires:
You will respond promptly to inbound inquiries via phone, email, and web forms, ensuring same-day contact. You will conduct warm, informative pre-consultation calls to qualify candidates and build genuine rapport. Your role involves guiding patients through scheduling, reducing no-show rates through proactive outreach, and persistently following up with prospective patients until a booking decision is made.
Beyond acquisition, you will serve as the primary contact for active patients, communicating with empathy and professionalism across all channels. You will coordinate pre-operative requirements and logistics with the clinical team, ensuring patients feel informed and supported at every step. Additionally, you will track lead-to-consult and consult-to-surgery conversion rates, contributing to weekly and monthly volume tracking to help the Practice Manager understand pipeline status.
You are someone who genuinely enjoys connecting with people and takes pride in moving them from uncertainty to confidence. You understand that a slow response or a missed follow-up can cost a patient their surgery, and you do not let that happen. If you have ever been told you could "sell ice to Eskimos" but prefer selling something meaningful, this is your role.

Sales background (retail, B2C, medical device, or similar) with a trackable record of conversion or quota attainment. Familiarity with insurance verification, prior authorization, or RCM processes. Experience with transgender/non-binary patient populations.
