About the Role

We are seeking a Property Administrator to play a critical role in ensuring our Houston, TX portfolio runs smoothly and that tenants receive prompt, professional responses. As the first point of contact at our Houston office, you will be the face of our operations, managing daily administrative functions, coordinating tenant service requests, and supporting the broader property management team.

In this position, you will bridge the gap between office administration and property operations. Your day will involve organizing files, managing vendor communications, tracking construction and maintenance projects, and ensuring accurate accounting processes. You will utilize our internal platforms to handle everything from emergency maintenance routing to utility tracking and lease documentation, ensuring a seamless experience for our tenants and partners.

Key Responsibilities

  • check_circleMaintain and update tenant and vendor contact lists and archive files in SharePoint
  • check_circleCoordinate tenant service requests and schedule health and life safety inspections in Yardi
  • check_circleManage tenant and vendor insurance reporting through Jones COI and collect lien waivers
  • check_circleRun and distribute A/R reports and prepare monthly commercial billing reports
  • check_circleServe as the first point of contact for the Houston office and direct tenant inquiries
  • check_circleTrack operating, capital, and general administrative expenditures at the property level
  • check_circlePrepare move-in and move-out checklists and draft welcome packages and notices
  • check_circleCode property invoices accurately and set up new vendors in Yardi
