About the Role

The Payroll and Benefits Manager is a critical member of the Human Resources team, responsible for the end-to-end execution of payroll, employee benefits administration, and strategic system management for our 500 faculty and staff. Reporting to the Director of Human Resources with collaborative ties to the CFO and Controller, this role requires a systems-thinking approach to ensure data integrity across HR, Benefits, and Finance.

Operating within a small department of three, this position manages and supervises its designated areas while independently providing the day-to-day, hands-on work required to execute them. A critical focus for the incoming manager will be documenting legacy processes, establishing "best practice" standard operating procedures (SOPs), and maximizing our HRIS and school software capabilities to automate manual tasks.

Key Responsibilities

  • check_circleExecute bi-weekly and monthly full-cycle payroll for faculty, staff, and substitutes
  • check_circleReconcile payroll, taxes, and benefits while ensuring accurate General Ledger interface
  • check_circleManage statutory compliance including 941 reconciliations, unemployment billings, and ACA reporting
  • check_circleAdminister comprehensive employee benefits programs including medical, dental, and 403(b) retirement plans
  • check_circleLead annual open enrollment and serve as liaison between employees, brokers, and insurance carriers
  • check_circleAdminister leave programs such as FMLA, ADA, and COBRA while processing unemployment claims
  • check_circleMaintain I-9 documentation and ensure compliance with federal, state, and local employment laws
  • check_circleDocument legacy processes and establish standard operating procedures for HR and payroll
  • check_circleManage workers' compensation program including injury reporting and claims processing
  • check_circleLead preparation for annual audits including 403(b), Workers' Compensation, and Form 990
  • check_circlePrepare Form 1042-S for international staff and assist expatriates with tax treaty exemptions
  • check_circleConfigure HRIS workflows and troubleshoot system issues to maximize automation capabilities

Requirements

Nice to Have

Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC). Experience and knowledge of ERISA compliance and managing self-funded benefits plans. Extensive experience with HRIS/payroll and school management systems, specifically Paycor and Blackbaud. Multi-lingual proficiency in English, French, and Spanish.
