The Office Administrator serves as the first impression for the organization, ensuring efficient administrative operations while delivering friendly customer service and focusing on the organization's mission and goals. This role is pivotal in maintaining a professional, fast-paced office environment where constant interaction with staff and customers drives daily success.
You will act as the central hub for communication, managing reception duties, coordinating complex meeting logistics, and supporting the Board of Directors with governance documentation. The position requires a blend of administrative precision, strategic planning, and cultural sensitivity, particularly in supporting Tribal Nation events and activities.
A significant portion of this role involves supporting the Board of Directors. You will coordinate regular and special Board meetings, including reserving facilities and managing secure virtual or hybrid conferencing. Your responsibilities include compiling and distributing Board packets, agendas, and presentation materials, as well as recording and transcribing accurate meeting minutes.
You will maintain organized physical and electronic records related to contracts, compliance documentation, and corporate bylaws. This includes ensuring that all Board actions and governance records remain consistent with applicable federal contracting requirements, internal policies, and the Prairie Band Potawatomi Nation Title 22 Law and Order Code.
