Under the supervision of the Director of Facilities, this position serves as the administrative backbone of the Facilities Department. The role is designed to ensure the efficient operation of the department by managing critical communication flows, coordinating schedules, and maintaining the digital and physical infrastructure required for daily operations.
You will act as the primary liaison between the Director, the Facilities team, Human Resources, and external vendors. Your day-to-day involves managing the workflow of computerized work orders, dispatching communications via radio systems, and ensuring that supply chains remain uninterrupted. This role requires a high degree of organization and the ability to prioritize tasks effectively, often making sound decisions in the Director's absence.
This position is based in an indoor office environment characterized by a quiet to moderate noise level, though periods of high activity may occur. The role involves regular computer work under standard lighting and frequent interaction with staff, external agencies, and the public. While the work is primarily administrative, the role requires compliance with company safety regulations and OSHA standards.
Candidates must be able to demonstrate a command of business English and the ability to communicate clearly and precisely. The selection process will focus on verifying knowledge of office procedures, proficiency with MS Office, and relevant secretarial experience in maintenance or construction contexts.
