The Administrative Spec I serves as a vital operational hub within the department, bridging the gap between academic leadership, faculty, and university-wide administrative systems. This role is designed to ensure the seamless execution of human resources, payroll, and academic coordination functions, allowing faculty to focus on their core teaching and research missions.
In this position, you will act as the primary liaison between the department and the CLAS Human Resources office, managing the full lifecycle of employee relations from hiring to reappointment. The role requires a high degree of accuracy and discretion, particularly when handling sensitive personnel matters such as visa status for foreign nationals, FMLA leave, and conflict of interest resolutions. You will also play a key strategic role in the academic calendar by collaborating with the Associate Chair to determine course offerings and assisting in the preparation of undergraduate and graduate catalogs.
Your day will be a dynamic mix of administrative precision and interpersonal collaboration. You will spend significant time coordinating the tenure and promotion process, ensuring all departmental activities align with university guidelines. A substantial portion of your work involves managing the hiring pipeline for faculty, staff, and student employees, which includes drafting position descriptions, organizing search committee meetings, and processing complex paperwork in compliance with UF's selection guidelines.
You will also serve as a key resource for foreign national employees, working closely with the UF International Center to manage visa statuses, sponsorship renewals, and employment eligibility. Beyond personnel management, you will compile critical annual activity reports, effort reporting, and external agency submissions (such as to the American Mathematical Society). The role demands adaptability, as you will frequently answer inquiries, route communications, and assist new faculty and graduate assistants with class operations and orientation.
