About the Role

The Administrative Operations Coordinator plays a vital role in ensuring our administrative and program operations function smoothly and collaboratively. This position serves as a central point of coordination across Outpatient Services (OPS), Community Recovery Services (CRS), Supportive Housing (SH), and Administrative departments.\n You will work directly under the Director of Administrative Services, acting as the first point of contact for our Headquarters South Entrance. Reliability, consistency, and presence are essential, as you will support multiple programs, staff, and the individuals we serve. Your work ensures that our internal systems remain strong so our programs can focus on what matters most: people.

Key Responsibilities

  • check_circleServe as receptionist and greeter for GAAMHA Headquarters South Entrance
  • check_circleConduct intakes and process referrals for Outpatient Services and other programs
  • check_circleSchedule, coordinate, and confirm appointments for Outpatient Services
  • check_circleEnter and maintain accurate client and program data in Electronic Medical Records
  • check_circleSupport billing workflows, claims submission, and Accounts Payable Reconciliation
  • check_circleSupport provider credentialing and re-credentialing processes
  • check_circleProvide administrative support including correspondence, filing, and meeting coordination
  • check_circleAssist with system maintenance, implementation, audits, and process improvements
  • check_circleManage incoming calls, route inquiries, and ensure timely follow-up
  • check_circleAssist with confirming insurance authorizations and resolving billing errors

Requirements
