The Administrative Assistant serves as the vital operational backbone for our program, providing essential administrative and clerical support to ensure efficient daily operations. Based at our Harlem location in New York City, this role often functions as the first point of contact for the program, requiring exceptional telephone manners, strong interpersonal skills, and a consistently positive attitude.
In this position, you will manage the flow of information and resources within the Department of Homeless Services (DHS) framework. Your day involves utilizing the CARES system to handle facility bed management, client admissions, discharges, and transfers, while also assisting with facility billing, audits, and reconciliations. You will maintain rigorous filing systems, track daily school attendance in collaboration with Department of Education representatives, and manage the ordering and distribution of supplies.
Beyond core administrative tasks, you will facilitate effective communication across an interdisciplinary team, contribute to staff meetings, and help develop policies and procedures. This role demands the ability to handle highly confidential and sensitive information with discretion, manage shifting priorities, and coordinate closely with other administrative support staff to ensure the smooth operation of the unit.
