This Administrative Assistant role is the operational backbone of a fast-paced business unit, providing essential support to legal professionals and stakeholders. You will be the point of contact for high-volume mailings, document preparation, and calendar management, ensuring that critical information flows accurately between the department, courts, and external agencies.
In this position, you will manage the lifecycle of documents ranging from standard reports to large-scale mailings for events with 1,000+ recipients. The role requires a blend of digital precision and physical logistics; you will utilize Microsoft Office to create and edit materials while also handling the distribution of these documents via courier, USPS, and hand-delivery. Some days may involve short pedestrian travel within the local area or the use of a company vehicle for longer distances to exchange filings with courts and administrative agencies.
The environment is dynamic, with priorities that can shift quickly. Success in this role depends on your ability to maintain a high level of accuracy and organization while adapting to changing needs. You will work closely with a team to support department productivity, often serving as the first point of contact for customer inquiries and ensuring that materials intended for judges and attorneys are flawless.

Experience using Adobe Acrobat for document labeling and editing. Experience performing mail merges using Microsoft Excel for letters and mailing or shipping lists. Familiarity with mail merge processes for mailing and shipping using applications such as Stamps.com, FedEx, and similar tools. Experience exchanging documents with courts, administrative agencies, and multiple external parties. Ability to manage mailings to large groups, including events with 1,000 or more recipients.
