About the Mission
At IDEA Public Schools, the Accounts Payable Clerk plays a critical role in upholding the organization's commitment to fiscal responsibility and operational excellence. This position ensures that all vendor payments and expense transactions are processed, reconciled, and maintained accurately to meet financial obligations in a timely and compliant manner. By adhering to federal, state, and local regulations, the Clerk supports the integrity of IDEA's financial operations and the advancement of its broader organizational goals.
About the Role
You will partner with the Accounts Payable Supervisor and the broader Finance team to maintain accurate records and provide exceptional service to internal and external stakeholders. The role is designed to ensure that invoices are entered, verified, and paid within policy timelines, fostering a culture of trust and efficiency. As a key contributor, you will help drive the operational excellence that defines IDEA Public Schools.

Location and Work Model
This is a full-time hybrid (remote/on-site) position based in Texas. While we welcome candidates from across the state, preference is given to those living in Austin, El Paso, Houston, the Permian Basin (Midland/Odessa), the Rio Grande Valley, San Antonio, and Tarrant County (Fort Worth), or those willing to relocate. The role includes travel expectations of up to 10% for trainings, stepbacks, and conferences.

Key Responsibilities
- check_circleProcess and enter all invoices into Tyler Munis within two business days of receipt
- check_circleVerify invoices using the Three-Way-Match process and process payments within the 30-day window
- check_circlePrepare and execute check runs twice weekly to ensure accurate and timely payments
- check_circleAllocate all expenditures correctly in Tyler Munis by the sixth business day of the following month
- check_circleReconcile 100% of P-Card expenditures by the third business day of each month
- check_circleProvide complete and timely documentation to external auditors to ensure audit requests are fulfilled
- check_circleAdhere to Financial Accountability System Resource Guide (FASRG) and maintain regulatory compliance
- check_circleMaintain proactive communication with vendors and internal stakeholders regarding invoice status
Requirements
