About the Role
The Accounts Payable & Procurement Specialist serves as a vital link within the Finance Department, working closely with the Director of Finance and the broader team. This role exists to ensure the maintenance and adherence to all agency Accounting Policies and Procedures, accurately reflecting the financial position of the organization.
In this position, you will be instrumental in the development of expense projections and the timely gathering of information necessary for management reporting, planning, analysis, and decision-making. Your work will support the efficient maintenance and processing of accounts payable transactions, purchasing, and inventory management. Additionally, you will act as a key liaison with outside auditors, preparing essential information to complete the annual audit process and ensuring compliance with Generally Accepted Accounting Principles (GAAP).

Key Responsibilities
- check_circleMaintain agency fiscal records via Automated Fund Accounting System
- check_circleEnter and post transactions to proper funds and accounts
- check_circleGenerate custom reports utilizing QuickBooks Enterprise Solutions
- check_circleMatch and research invoices and purchases
- check_circleCoordinate purchasing of supplies and services for all departments
- check_circlePrepare and issue purchase orders based on approved requisitions
- check_circleMonitor inventory levels and reorder supplies as needed
- check_circlePrepare annual 1099 forms and manage vendor W-9 forms
- check_circleProcess daily deposits of all cash receipts into agency bank accounts
- check_circleProcess check runs weekly and handle emergency checks
- check_circlePerform monthly reconciliation of Petty Cash and other assets
- check_circleAct as liaison to agency vendors, auditors, and funders
Requirements
- verifiedBachelors Degree in Accounting and 3 years' experience in accounting or related field OR Bachelors Degree and 3 years' related experience
