The Band 1 MKR Sales Administrative Assistant serves as a vital support pillar for the Leisure Sales team, working directly under the Sales Director and managers. This role is designed to ensure the seamless operation of administrative functions across the Mauna Kea Beach Hotel and Westin Hapuna Beach Resort. By managing correspondence, coordinating site tours, and maintaining critical databases, the assistant enables the sales team to focus on driving revenue and cultivating client relationships.
The day-to-day rhythm of this position involves a dynamic mix of desk-based administrative tasks and on-site guest engagement. You will be the first point of contact for incoming calls, relaying messages and arranging appointments while managing the flow of promotional materials and customer gifts. A significant portion of the role involves detailed data management, including reconciling reports for Marriott and Prince Hotels, processing invoices within the Birchstreet accounting system, and finalizing group contracts in the CI-TY sales system. Additionally, you will play a key role in the Plumeria awards database, supporting the Travel Agent loyalty program.
Beyond the office, this role offers the opportunity to represent the resort directly. You may conduct site tours for potential clients, shuttle media personnel via electric cart, and interact with guests and department personnel throughout the resort grounds. This position requires a blend of precision in handling financial and contractual details and the warmth to provide a welcoming experience for visitors.
This position operates primarily in a standard office cubicle environment but frequently extends outdoors to facilitate resort tours. The role requires travel between the Mauna Kea Beach Hotel and the Westin Hapuna Beach Resort. The work schedule is flexible, determined by the Director of Leisure Sales, and may include shifts and hours exceeding 40 per week to meet operational needs. Success in this role demands the ability to prioritize a fluctuating workload, manage stressful situations with a positive attitude, and maintain a professional, friendly demeanor at all times.
