Key Responsibilities
- check_circlePlan, coordinate, and execute organizational projects from conception through completion
- check_circleDevelop detailed project plans, timelines, and tracking systems using project management tools
- check_circleCoordinate cross-departmental meetings and facilitate communication between stakeholders
- check_circlePrepare status reports, presentations, and documentation for leadership and funding partners
- check_circleSupport grant-funded initiatives by tracking deliverables and managing compliance with funder requirements
- check_circleProvide high-level administrative support to executive leadership including calendar management
- check_circleManage office operations including supply ordering, vendor relationships, and equipment maintenance
- check_circleCoordinate internal and external meetings including logistics, agenda preparation, and minute-taking
- check_circleMaintain organized physical and digital filing systems for contracts, reports, and organizational records
- check_circleProcess invoices, expense reports, and reimbursements with meticulous attention to accuracy
- check_circleCoordinate travel arrangements and logistics for staff and leadership team members
- check_circleMonitor project progress, identify risks, and implement solutions to keep initiatives on track
Requirements
- verifiedBachelor's degree in Business Administration, Public Health, Project Management, or related field, OR equivalent combination of education and experience
- verified3-5 years of experience in administrative support, project coordination, or project management roles
- verifiedAdvanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace
- verifiedExperience with project management software (e.g., Asana, Monday.com, Smartsheet, Microsoft Project, or similar tools)
