The Licensing Specialist serves as a critical execution-focused partner to dealership and corporate operations, ensuring the organization maintains full compliance across multiple jurisdictions. This role is dedicated to the precise preparation, submission, tracking, and maintenance of licensing applications, acting as the primary gatekeeper for regulatory adherence.
While the position does not manage corporate entities directly, it requires a deep working understanding of entity structures, ownership relationships, and officer information to accurately complete complex regulatory filings. The specialist ensures that all licensing activities—from new applications and renewals to amendments and transfers—are executed with exceptional attention to detail, preventing operational delays and maintaining audit readiness.
You will navigate a dynamic workflow that balances internal coordination with external communication. Your day involves preparing and submitting state and local licensing applications using provided entity records, ensuring every detail regarding ownership and officers is reflected accurately. You will act as the primary point of contact for manufacturers and licensing agencies, proactively following up on application progress, addressing deficiencies, and securing necessary signatures or documents.
A significant portion of your time will be dedicated to disciplined status tracking using internal systems and renewal calendars to prevent license lapses. You will collaborate closely with Legal, Finance, Accounting, and Operations to gather required information, collect officer disclosures, and coordinate background checks or fingerprinting. Additionally, you will maintain organized files for audit purposes and provide regular status updates on active applications and upcoming renewals.
