This position serves as a vital support pillar for our attorneys, performing a variety of secretarial duties in accordance with established policies and procedures. The role is designed to maintain seamless communication between clients, attorneys, and staff while strictly observing the confidentiality of all client matters. You will be the first point of contact for visitors and callers, ensuring that public relations are handled with the utmost courtesy and tact.
Your day will involve a dynamic mix of administrative and legal support tasks. You will operate standard office equipment and technology, including laptops and Microsoft Suite, to prepare correspondence, memoranda, and legal documents from written and oral drafts. A significant portion of your time will be dedicated to managing the attorney's calendar, establishing deadline reminder systems, and handling incoming and outgoing mail with precision.
You will also be responsible for opening new files, conducting conflict of interest checks, and maintaining an organized filing system for both active and archived cases. The role requires processing and proofing billing sheets, ensuring attorney time sheets are submitted timely, and performing legal assistant duties as requested. Whether transcribing documents from dictation, managing high-volume typing, or providing reception relief, you will adapt to the fluctuating needs of the firm.
This is an on-site position within a normal law office environment. The setting is characterized by little exposure to excessive noise, dust, or temperature extremes. While the role typically follows standard hours, the nature of legal work occasionally requires irregular hours or periods exceeding 40 hours per week to meet essential duties and deadlines.
