The Event Operations Coordinator is a vital support role within the Performing Arts and Conference Center department, reporting directly to the Director of Event Operations. This position is essential for the seamless management and execution of a diverse calendar of events, including in-house gatherings, the presented season, and community festivals.
The role serves as a bridge between operational logistics and the artistic experience. You will ensure that every event, from setup to breakdown, runs smoothly by coordinating with various departments and managing complex hospitality needs for artists, staff, and vendors. This is a dynamic, fast-paced position that requires a flexible schedule to accommodate events taking place on evenings and weekends.
Your day will vary depending on the event cycle. During active events, you will be the operational backbone, overseeing catering and dressing room requirements, managing hospitality riders, and acting as a runner for tour managers. You will handle errands, coordinate artist transportation, and maintain the cleanliness and organization of prep kitchens and wardrobe rooms.
Between events, your focus shifts to planning and administration. You will create event estimates and settlements, prepare and distribute Banquet Event Orders (BEOs), and ensure all documentation is accurately stored in systems like Caterease, Artifax, and Google Drive. You will also assist with the physical setup and breakdown of tables, chairs, and decorations, ensuring the venue is ready for the next experience.
A unique aspect of this role is its deep connection to the local community. You will have the opportunity to support major community festivals, including Independence Day, El Grito, Dia De Los Muertos, and Winter Wonderland, helping to bring cultural celebrations to life for the public.
