This Administrative Assistant position serves as a vital support pillar within the Public Works and Transportation Department's Aviation Division. The role is designed to ensure the smooth operational flow of the airport by managing critical administrative functions, maintaining compliance with federal and state regulations, and acting as a central communication hub for diverse aviation stakeholders.
You will be the primary point of contact for a wide range of aviation activities, bridging the gap between the Airport Manager, the Air National Guard, Air Traffic Control, and Fixed Base Operations. Your work directly impacts the division's ability to meet grant assurances and maintain accurate records for lease compliance, budget tracking, and regulatory reporting.
Your day will likely begin by monitoring airfield activities and managing city aviation channel radio communications, serving as the central dispatch for staff and city employees. You will compile detailed reports on aviation activities for city policies and federal regulations, while simultaneously assisting with the preparation and monitoring of the aviation budget.
A significant portion of your time will be dedicated to administrative coordination, including maintaining lease records, preparing city ordinances and resolutions, and managing the agenda and minutes for the Aviation Advisory Board. You will also support the Airport Manager in public meetings and official functions, ensuring professional conduct and clear communication with both internal teams and external partners.
