About the Role
The Office Coordinator serves as the operational heartbeat of our highly specialized mental health treatment center, supporting day-to-day activities for our intensive outpatient and partial hospitalization programs. This role is pivotal in managing client relationships, overseeing payment collections, maintaining medical records, ensuring quality assurance, and facilitating on-site admissions.
In this position, you will be the first point of contact for clients and guests, ensuring a warm and welcoming environment. Your day will involve coordinating admissions, managing facility maintenance, handling confidential documentation, and collaborating closely with clinical teams, admissions coordinators, and the Executive Director. You will act as a key liaison between the organization and external partners, including families, referral sources, and vendors, ensuring seamless communication and operational efficiency.

Key Responsibilities

- check_circleFacilitates communications with the Admissions Coordinator for each admission
- check_circleAssists with the admissions process and provides new client orientation
- check_circleTracks and maintains a variety of reports in a timely and accurate manner
- check_circleEnsures all required safety inspections and licensure tasks are completed
- check_circleProvides backup support to admissions coordinators for facility inquiries
- check_circleManages phone system and IT equipment utilizing help desk staff
- check_circleChecks in clients, orders meals and supplies, and completes admission paperwork
Requirements
- verifiedHigh School degree or equivalent
- verifiedBachelor's degree preferred
- verifiedMinimum 2 years administrative experience in behavioral health
- verifiedKnowledge of behavioral health terminology
- verifiedExperience with Salesforce CRM or client relationship management software
- verifiedValid driver's license and acceptable driving record
- verifiedTB test clearance
- verifiedCurrent CPR and First Aid certification
- verifiedProficiency with Microsoft Office Suite including Excel
- verifiedKnowledge of HIPAA confidentiality standards

Bachelor's degree. Experience working with physicians and therapists.
