About the Role
Under the direct supervision of the Facility Service Operations (FSO) Manager, this position serves as the operational backbone for accurate financial documentation within the service division. The primary mission is to ensure the timely and precise preparation of costing and billing for service work, bridging the gap between field technicians, project managers, and the company's financial records.
In this role, you will manage the end-to-end lifecycle of service invoicing, from processing service calls and small project invoices to verifying the completeness of all job details. Your day involves rigorous quality control, ensuring that material descriptions, costs, sell prices, and equipment serviced are accurately captured before any invoice is generated. You will act as a key interface between service sales personnel and the billing team, providing critical work order updates and resolving discrepancies to maintain cash flow and customer trust.
A significant portion of your time will be dedicated to monitoring outstanding work orders using the IFS work order screen and Smartsheet. You will identify billable items, track aging orders, and follow up with project managers or technicians to resolve missing information or scope issues. The role requires proactive management of credits, rebills, and rejected work orders, ensuring that all financial data is current and compliant with contractual requirements.
