Job Description Job Description 1 PURPOSE 1.1 The purpose of this job description is to establish and define the authority, accountability, reporting relationships, responsibilities, duties, and measures of performance of the Project Administrator of Simile Construction Service, Inc. 2 BASIC FUNCTION 2.1 Under supervision of Project Manager, maintain records, RFI’s, process submittals by stamping, recording, and distributing, change orders, insurance, and other subcontractor required document verification. 2.2 Project Administrator works directly with the Office Manager and supports Projects Manager and Accounting to master all elements of a project. 3 REPORTING RELATIONSHIPS 3.1 The Project Administrator reports directly to the assigned Office Manager. 4 JOB REQUIREMENTS To perform this job successfully, an individual must be able to complete all areas outlined for this position in a satisfactory manner. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. 4.1 EDUCATION AND EXPERIENCE 4.1.2 Preferred: Minimum of two years commercial construction experience in a Project Administrator position. 4.2 SKILLS, KNOWLEDGE, AND ABILITIES 4.2.1 General knowledge of materials, methods, and the tools involved in construction of commercial buildings. 4.2.2 General knowledge of relevant Public Safety and Security regulations. 4.2.3 General knowledge of presentations, construction estimates, schedules and services. 4.2.4 Computer skill requirements include: Microsoft Office Products, Procore, Scheduling, Accounting software, and Adobe. 4.2.5 Accurate estimating and math skills. 5 AUTHORITY 5.1 The Project Manager shall grant sufficient authority to the Project Administrator to assure the successful completion of all assigned responsibilities and duties. 6 RESPONSIBILITIES AND DUTIES The responsibilities and duties of, but not necessarily limited to, the Project Administrator are: 6.1 Maintains Field Office records according to approved SCSI filing format, collate and digitize. 6.2 Maintain project records of Subcontract Proposed Change Orders and Executed Change Orders Disburse Look Ahead&Project Schedules to sub contractors. 6.3 Help ensure construction project quality levels and protect reputation of the company. 6.4 Confer with supervisors, contractors, and designers to resolve matters such as work procedures, design challenges and construction challenges. 6.5 Prepare cost tracking reports and issue them to the proper managers. 6.6 Establish and maintain submittal schedule processing and transmitting submittal to owner representative and/or subcontractor/vendor. 6.7 Prepare and maintain reports as delegated and supervised by Project Manager or Assistant Project Manager. 6.8 Assist in Project Close-Out Process to include AS BUILTS, warrantees, guarantees, O&M manuals, test results, certifications, Close-Out documents, post construction with field, accounting and estimating. 6.10 Verify all sub insurance certificate and license information, and all other required documents. I.E. Weekly reports to PM’s and Superintendents. 6.11 Order, track and digitizing all plans and files. 6.12 Upload specific project, documentation, and photos to the website weekly. 6.13 Any special projects as needed.
