Office Coordinator of Clinical Placements Monmouth University is seeking applications for an Office Coordinator of Clinical Placements in the Nursing Department. The candidate would be expected to interact with faculty, students, and clinical agencies including sending correspondence to agencies regarding placements and coordinating affiliation agreements between the School and agencies; working with faculty, students, preceptors, clinical instructors, mentors, and the Office of the General Counsel, and assist the School in obtaining documentation from students who are going into clinical sites; collect immunization records, background checks, liability insurance, agency criteria, etc.; keep records for accreditation; document preceptor and clinical nursing supervisors resumes, licenses and certifications. This is an in-person, on-campus, non-remote position. Required Skills or Software: Intermediate knowledge of MS Word 2016 Intermediate knowledge of MS Excel 2016 Excellent interpersonal, organizational and communication skills Must be able to treat confidential and sensitive information appropriately Required Years of Experience: 4 Required Degree, Licenses or Certifications: Other Requirements Four (4) years of related experience. Must be detail-oriented and able to problem solve and promptly and effectively implement multiple tasks. Ability to communicate effectively with faculty and students preparing for clinical experiences across all programs and provide instruction and follow-up for clinical site requirements. Ability to work with credentialing vendors to facilitate clinical requirements. Ability to maintain current databases of faculty credentials, clinical agencies, preceptors, etc., using Excel. Preferred Qualifications: Working knowledge of placing students in clinical settings, background or experience in healthcare or health-related profession. Job Duties Assist the School in obtaining documentation from nursing students going into clinical placements, including immunizations, background checks, liability insurance, and other requirements. Follow up and coordinate with agencies regarding clinical placements and completion of affiliation agreements. Assist with recruitment of clinical sites and orientation of faculty, students, and others to clinical sites. Collect resumes/curriculum vitae, credentials, and other required documentation for faculty, preceptors and clinical supervisors to maintain university, agency, regulatory, and accreditation compliance. Maintain a current database of clinical agencies/partners, preceptors, and affiliation agreements, that includes contact information, term, expiration dates, and agency requirements. Have a working knowledge of the various undergraduate and graduate programs within the School that utilize clinical experiences. Have working knowledge of clinical clearance software to: 1) work with the software vendor to address compliance issues in a timely manner, and 2) notify the Department Chair, Program Directors, Coordinators, course faculty, agency and others accordingly. Adhere to strict clinical affiliate requirements, timelines, and placement protocols. Implement new clinical affiliate protocols or course requirements and advise the Department Chair, Program Directors, Coordinators, course faculty, and others in a timely manner. Use technology to effectively streamline communication, workflow, and recording keeping, including affiliation agreements, requirements, forms, documents, and correspondence. Work with the Department Chair, Program Directors, Coordinators, course faculty, and others to: 1) Identify students participating in clinical educational experiences; 2) access course information needed for student placement; 3) implement clinical clearance protocols; 4) effectively communicate with students, faculty, clinical instructors/supervisors, preceptors, and others regarding their roles and responsibilities in obtaining and maintaining clinical clearance; 5) follow up with students to obtain clinical clearance documents and other accreditation, agency, regulatory, or university documents as needed.
