We are seeking a detail-oriented and proactive In-Office Project Coordinator to join our team and support various administrative and project management tasks. Position Overview: The In-Office Project Coordinator will play a crucial role in ensuring the smooth execution of our projects by managing billing, order entry, service billing, inventory control, schedule coordination, and customer follow-up. This individual will work closely with the Project Manager and other team members to keep projects on track and ensure all administrative aspects are handled efficiently. Key Responsibilities: 1. Billing: oIssue CA invoices and follow up on internal requests and past due accounts. o Ensure timely and accurate billing processes are maintained. 2. Order Entry: o Enter all orders, including proposals, major jobs, aftermarket, and service orders. o Ensure orders are processed accurately and in a timely manner. 3. Service Billing: o Handle all billing activities related to the service side of the business. o Ensure service billing is completed accurately and promptly. 4. Inventory Control: o Assist purchasing in ensuring all inventory is accounted for and properly located. o Maintain accurate records of inventory and assist in inventory audits as required. 5. Schedule Coordination: o Monitor project schedules and work with the Project Manager to identify milestones. o Keep projects on track by ensuring all deadlines are met and resources are allocated efficiently. 6. Project Assistance: o Assist the project group with transmittals and closeout documents. o Ensure all project documentation is completed and filed appropriately. 7. Customer Follow-Up: o Conduct follow-up communications with customers to ensure continuous improvement. o Gather customer feedback and relay it to the appropriate departments for action. Qualifications: · High school diploma or equivalent; associate or bachelor's degree in related field a plus. · Strong organizational and multitasking skills. · Excellent communication and interpersonal skills. · Proficiency in Microsoft Office Suite (Word, Excel, Outlook). · Experience with project management software and ERP systems is a plus. · Ability to work independently and as part of a team. · Detail-oriented with strong problem-solving abilities.
