Summary: As part of the Corporate Office Services team, this role requires someone who is customer-focused and is interested in supporting a diverse team. The primary purpose of this position is to provide support to the Director of Real Estate and Facilities and the departments under their purview which includes reprographics, facilities, document management, fleet, and the front office. This role will interface with internal and external customers and vendors requiring a high level of professionalism, communication skills, and strong MS Office computer skills. Candidate must have a positive attitude, be a team player, and a problem solver. General Responsibilities: Assists with project and department administration and coordination as required. Leads the new hire onboarding, assembling new hire boxes for distribution by facilities team. Leads weekly new hire meeting with Facilities and IT to ensure we have workstations ready for new hires and escalates issues. Prepares letters, transmittals, memos, reports, proposals, contracts, forms, and other business correspondence. Proofreads and edits documents. Maintains electronic files. Tracks deadlines and helps to keep the team on track. Handles mail as well as incoming and outgoing deliveries. Manages calendars and handles the scheduling and confirmation of meetings. Supports the planning and execution of special events. Makes travel arrangements. Helps with vendor coordination including vendor setup, contracting, and invoice processing. Provides support for office moves, construction, and renovations. Maintains floor plans company-wide. Maintains a cheerful and friendly attitude at all times. Demonstrates a client-centric approach during all interactions – treats everyone as if they are the “only” client that we have (whether they are an external or internal client) and shows a willingness to go the extra mile. Required Education: Associates Degree preferred. Required Experience: Minimum of 5 years previous administrative experience in office services or similar role. Must be dependable and possess a sense of urgency. Ability to work effectively in a team environment; ability to accurately work under pressure in meeting deadlines. Proven ability to set work priorities that conform with established standards and to be a self-starter and work with limited direction. Ability to problem solve and implement best solutions. Capacity to manage multiple, concurrent projects at any given time. Strong verbal and written communication skills for contact with associates, executives, and clients. Advanced Microsoft Office skills. Excellent spelling and grammar, organized, able to set priorities and meet deadlines, able to multi-task. Teachable and willing to learn new systems and processes.
