Executive Assistant/Administrative Coordinator - Boston Schedule: Hybrid (2 days remote, 3 days in office) Hours: 8:00 AM – 5:00 PM (flexibility and overtime may be required) Overview: We are seeking a detail-oriented and proactive Administrative Coordinator to support our dynamic team. The ideal candidate will have at least two years of administrative experience in a professional setting, with advanced proficiency in MS Office and a proven ability to manage calendars, coordinate travel, and multitask effectively. Experience in investment management or professional services is preferred, though not required, and hospitality backgrounds often translate well to this role. Key Responsibilities: Manage calendars, schedule meetings, and coordinate travel arrangements using MS Outlook. Prepare and format documents, presentations, and reports using MS Word, Excel, and PowerPoint. Act as the primary point of contact for scheduling and meeting coordination. Maintain a high level of discretion and professionalism while handling sensitive information. Organize and manage multiple tasks and deadlines with strong time management skills. Support the team with ad hoc administrative duties to drive efficiency and productivity. Adapt quickly to changing priorities and assist with last-minute requests or adjustments. Qualifications: Minimum of 2 years of experience in an administrative role, preferably within professional services or investment management. Advanced proficiency in MS Office Suite, particularly Outlook for calendar management and meeting coordination. Strong organizational skills with the ability to multitask and prioritize effectively. Attention to detail and commitment to producing high-quality work. Proactive problem-solving skills and an anticipatory mindset. High level of reliability, professionalism, and discretion in all interactions. Positive, can-do attitude, flexibility, and a sense of humor. Exposure to global contexts, whether professionally or personally, is a plus.
