Chelmsford High School/McCarthy Middle School Auditorium Manager Chelmsford Public Schools McCarthy Middle School - Chelmsford, Massachusetts Chelmsford High School - North Chelmsford, Massachusetts Job Details Job ID: 4496576 Application Deadline: Posted until filled Posted: Dec 22, 2023 Starting Date: Immediately Job Description Auditorium Operations Adhere to the policies of the Chelmsford School Committee in implementing all aspects of auditorium operations. Coordinate the use of both auditoriums. Oversee the work of the Central Office Secretary in relation to those responsibilities that pertain to auditorium operations. Meet and work with all groups interested in booking the auditoriums and communicate effectively with CPS staff and outside users who have scheduled auditorium time. Work with custodial staff in coordinating all auditorium events. Maintain the equipment and physical structure in the auditoriums for safety and efficiency. Work closely with the Technical Director to ensure information is shared to manage technical needs and address technical issues in a timely manner. Work with the Fine and Performing Arts Coordinator. Field and return phone calls and emails with questions concerning the auditorium. Take a lead in the scheduling and planning of regularly scheduled meetings with the “Auditorium Operations Team” to assess the success of auditorium operations, need for improvement, etc. Communicate regularly with the Building Principals and if necessary, the Fine and Performing Arts Coordinator, regarding auditorium operations. Coordinate post production striking of materials and cleanup of the auditoriums. Ensure that equipment is shut off and the facility is properly locked. Open facilities punctually as directed and remain in attendance for events. Report to the Facilities Director any issues with heating/air if not set at proper levels. Respond to questions and requests from auditorium users in a positive, receptive and helpful manner. Respond appropriately to emergencies or urgent matters as they arise. Marketing Develop a marketing strategy to promote effective use of both auditoriums. Clerical/Administrative Maintain various files and database records including those pertaining to supplies, staff, and schedules for both auditoriums. Maintain budget information regarding the auditoriums. Maintain a Master Schedule for both auditoriums to be coordinated with the Central Office Secretary. Send out bills to all groups renting an auditorium and follow up on collection of any fees. Work with the Technical Director in developing a yearly budget for maintenance. Ensure that all proper paperwork is filled and turned in completely prior to the rental date. Set the yearly calendar for auditorium events in June of the previous year. Consistently update the master calendar for both auditoriums via the website and at the individual schools.
