Overview The Associate Director, Project Management will be responsible for keeping teams moving in the same direction on client engagements. The ideal candidate is process-oriented, with sharp attention to detail, and the ability and desire to bring people together. The Associate Director, Project Management will support Senior leadership and should exhibit professionalism, solid judgment, discretion, and excellent written and verbal communication. You will be proactive in anticipating and prioritizing the business needs of the senior leadership and will have superb time management skills, a productive approach toward work, and a strong sense of urgency. Responsibilities Work directly with internal teams on multiple client engagements from discovery to deployment. Build and maintain client project scopes with close collaboration with Finance to ensure profitability. Create, execute, and manage comprehensive project plans and proposals. Identify and manage deliverables, priorities, and resourcing needs on client engagements. Develop and deliver on timelines, roadmaps&schedules. Identify and recommend solutions to streamline processes. Facilitate regular project team meetings. Lead team meetings to effectively assess project status and ensure team focus on delivery of client deliverables. Be flexible and resourceful to manage changing project priorities and needs. Manage and maintain calendar schedule; monitoring, updating, and prioritizing utilizing good judgment and strong decision-making skills. Manage travel arrangements including flights, hotels, and ground transportation. Expense reporting – T&E preparation and submission. Gain an understanding of overall direction of the business and help facilitate efforts to drive that direction forward. Willingness to engage in and coordinate cultural activities of the agency in partnership with management and executive teams. Schedule, coordinate, and confirm meetings to include: Reserve conference rooms. Set up equipment. Place catering orders. Initiate conference calls when necessary. Develop, review, and edit regular and confidential correspondence, presentations, and reports. Attend regular executive management meetings to record notes, track minutes, and follow up actions. Demonstrate confidentiality when handling sensitive information and matters. Basic project management of executive initiatives. Coordinate special projects, including personal travel and requests as necessary. Manage and facilitate monthly company-wide town hall meetings including coordination with other offices to execute company-wide AV setup, track monthly town hall owners, aggregate content, and facilitate Q&A. Approve travel, time off, and expenses for CEO’s direct reports. Qualifications 4-6 years of project management experience, preferably in a media agency environment. Mastery of mid to large-level projects and programs. PMP and/or CSM certification highly desired. Working knowledge of enterprise tools (JIRA, MS Project, Excel, PowerPoint, Salesforce). Highly proficient in Excel and PowerPoint. Media experience is helpful. Strong verbal, visual and written communication skills, particularly in blending analysis and narrative to create compelling slide presentations and business proposals. Possess confidence, composure, and polished presentation skills to effectively attend and lead meetings. Detail-oriented with the ability to coordinate projects across multiple teams and functions. Passionate about working in an extremely fast-paced and demanding environment. Self-motivated and able to work autonomously. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time.
