The Patient Service Representative (PSR Scheduler) is a vital member of the physician's care team at Bell Hospital's Indian Creek Main outpatient clinic. This role is critical for creating a pleasant and seamless patient experience, serving as the first point of contact for patients navigating the healthcare system.
The position primarily focuses on scheduling patient appointments, managing high volumes of incoming telephone calls, and coordinating complex patient itineraries that may include in-person visits, telehealth sessions, surgeries, and ancillary services. While the role is centered on scheduling, PSRs are trained to support front office functions, assist with patient registration, and help the care team prepare for daily appointments. Depending on operational needs, this role may also be performed in a call center setting.
You will act as a navigator for patients, utilizing Epic Cadence decision trees to schedule internal and external referrals, surgeries, and procedures. Your day involves accurately documenting and routing calls, updating patient information in the Electronic Medical Record (EMR), and verifying insurance details. You will also assist patients with MyChart activation and online check-in, ensuring they are prepared for their visits.
Beyond scheduling, you will participate in daily clinic huddles and process improvement initiatives. You are expected to maintain a working knowledge of patient policies, the University of Kansas Health System services, and various insurance coverage types (HMO, PPO, VA, Medicare). The role requires flexibility to support alternate locations and cover front desk duties, including check-in/out, collecting point-of-service payments, and ensuring proper workspace maintenance and PPE compliance.
Candidates must successfully complete necessary training and pass 30-60-90-day quality assessments. The role requires adherence to Health System standard apparel policies and the ability to remain in the clinic until the last patient is checked out and follow-up visits are scheduled.
