Job Description Job Description Spectrum Energy is a unique group of energy engineers focused on analyzing building systems. We educate our clients on the energy in their buildings and provide alternatives centered on energy savings, first cost, life cycle cost and sustainability. This Energy Team is currently searching for a Project Administrator to provide executive project support to include management support, marketing support and general administrative duties. As a Project Administrator this person is responsible for all aspects of project execution including coordination between clients and contractors, owners and utility companies, plus general customer service. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES include the following. Other duties and functions may be assigned. Provide executive support for management and marketing functions. Administration and management of energy projects including coordination with building owners, contractors, utility companies, vendors, and sales teams. Develops relationships with customers and provides support as necessary for both energy engineering and owner sales. Coordinates with all utility companies to ensure the project status and site inspections for all incentive applications. Collects documents for all incentive applications, then manages the entire application process including the delegation of tasks to assure incentives are attained. Monitors project costs, invoices, and makes adjustment to deliver at or under budget without sacrificing customer satisfaction. Internal document management of projects and project folders to assure all pertinent information is maintained and current. Coordinates service and technical support during energy modeling and incentive application execution. Develops and maintains project list and financial documents. Bookkeeping, proposal and invoice creation and management. Flexibility to work outside normal work hours, as required. QUALIFICATIONS include the following. Must possess excellent organizational skills, attention to detail, and ability to prioritize multiple projects and tasks to meet competing deadlines. Bachelor’s degree and 1-2 years of relevant experience; or an equivalent combination of education and work experience. Positive, professional, and proactive attitude. Excellent interpersonal, written, and verbal communication skills. Demonstrated ability to manage and maintain internal processes and problem solve effectively. Windows/ Microsoft Office (Excel, Outlook, PowerPoint) product knowledge required. Familiarity with general or mechanical contracting or HVAC equipment sales preferred.
