Position Summary Under the general supervision of the Assistant Director of Federal and State programs, provide analytical support for the awarding, disbursing and monthly as well as annual reconciliation of all state programs; such as but not limited, Cal Grant, Middle Class Scholarship, CHAFEE, Dream Service Incentive Grant. Utilizing the California Student Aid Commission Web Site (CSACWG), research and review awards of state aid to ensure compliance with state and University guidelines. The position will provide accounting, ongoing monitoring and operational support to ensure fiscal integrity in the management of all state program funds. Coordinate the reconciliation functions between the General Ledger (GL) and Financial Aid Management (FAM) system and (CSACWG), utilizing FAM/GL QDB. Incumbent functions independently as the point of contact to (CSAC) for and is responsible for: Coordinating annual verification of UCLA students Grade Point Average submission to CSAC; Downloading weekly Cal Grant Rosters, Middle Class Rosters and California ISIR's (CISIR) from CSAC; Managing uploads of rosters and files to Financial Aid Management System (FAM) utilizing secure Administration Information System (AIS) FX server; Executing the creation of (FAM) disbursement files to upload back to (CSAC) for reimbursement of BAR student grant funds disbursed using the secure AIS FX server; Troubleshooting and resolving any variances in programs. Provide students, staff, parents and agency liaisons with information, problem resolution and direction about Financial Aid programs. Provide accounting and operational support to ensure the fiscal integrity of state programs funds by monitoring the funds and perform other duties as assigned. Qualifications 1-2 years In related area and/or equivalent experience/training (Required) Skill in analyzing information, problems or situations to define the problem and formulate accurate and objective resolutions based on knowledge of financial aid for federal, state, and institutional policies. (Required) Demonstrated working knowledge and skills of software applications, including Microsoft Excel, and Microsoft Access (QDB), sufficient to create maintain and update financial excel spreadsheets using a variety of Excel functions. (Required) Ability to establish and maintain cooperative working relationships with other staff, co-workers, students, parents and Off-Campus Agencies. (Required) Ability to review and interpret information submitted by students, departments and Off-Campus Agencies on a variety of forms and documents to determine accuracy and completeness. (Required) Demonstrated working knowledge of the accounting practices as established by SAS Audit Rules and Regulations. Demonstrated ability to read, understand and interpret California Student Aid Commissions, Operation Memo's and Special Alert Bulletins. (Required) Ability to review the General Ledger and recognize errors using FAM and FS QDB. (Required) Working knowledge of multiple financial aid programs to ensure compliance and regulations.
